Project Accounts

The project accountant position is accountable for monitoring the progress of projects, investigating variances, approving expenses, and ensuring that project billings are issued to customers and payments collected.

Job Responsibilities

  • Project Account Setup: Create and manage project accounts within the accounting system.
  • Contract & Record Management: Maintain project records, including contracts and change orders.
  • Expense Authorization: Authorize the transfer of expenses into and out of project-related accounts.
  • Invoice Review: Review and approve supplier invoices related to projects.
  • Timesheet Approval: Review and approve timesheets for project-related work.
  • Overhead Allocation: Review and approve overhead charges applied to projects.
  • Variance Analysis: Investigate project cost variances and submit variance reports to management.
  • Receivables Coordination: Work with receivables staff regarding unpaid contract billings.
  • Billing Opportunities: Identify and report opportunities for additional project billings.
  • Funding Oversight: Monitor and report remaining funding available for projects.
  • Customer Billing: Create, review, and approve project-related billings to customers.
  • Unbilled Expense Review: Investigate project expenses not billed to customers.
  • Write-Off Authorization: Approve write-offs of project-related billings in accordance with company policy.
  • Project Closeout: Close project accounts upon project completion.
  • Compliance & Reporting: Prepare and submit government reports and tax returns related to projects.
  • Audit Support: Compile information for internal and external auditors as required.

Job Qualifications

  • Professional Attributes: Highly organized and detail-oriented with strong attention to accuracy and quality.
  • Communication Skills: Excellent verbal, written, and interpersonal communication skills across all organizational levels.
  • Educational Background: Bachelor’s degree or relevant college coursework in accounting, business, or a related field (preferred).
  • Computer Proficiency: Intermediate to advanced computer skills, including word processing, spreadsheets, and accounting software such as Tally.
  • Accounting Knowledge: Sound understanding of basic accounting principles.
  • Project Environment Knowledge: Familiarity with project structures in a client–consultant business environment.
